1. Acceptance of Terms
These Terms and Conditions (“Terms”) govern your access to and use of the Little Haven Psychological Services (“LHPS,” “we,” “us,” or “our”) website, client portal, account-registration functions, booking system, communications, and related online features.
By accessing the website, creating an account, submitting information, requesting an appointment, or using an online feature, you acknowledge that you have read and agree to these Terms and our Privacy Policy. Separate informed-consent forms, assessment agreements, clinic policies, and professional-service agreements may also apply.
2. Nature of Services
LHPS provides psychological and wellness-related services that may include counseling, psychotherapy, psychological testing and assessment, psychoeducation, consultation, referral, and related support. The specific service, scope, provider, fee, format, and professional relationship will depend on the accepted appointment and any separate consent or service documents.
Information displayed on the public website is for general educational and administrative purposes. It does not, by itself, establish a psychologist-client relationship, provide a diagnosis, replace an individualized assessment, or constitute medical, psychiatric, psychological, legal, or emergency advice.
3. Not an Emergency or Crisis Service
If you or another person may be in immediate danger, may act on thoughts of self-harm or harm to others, or requires urgent medical or psychiatric attention, contact local emergency services or proceed to the nearest emergency facility. Do not wait for an online reply or appointment confirmation.
4. Eligibility, Capacity, and Minors
You must provide accurate information and have the legal capacity or proper authority to agree to these Terms. A parent, legal guardian, or authorized representative may be required to create or manage an account, provide consent, schedule services, or receive information for a minor or another person.
LHPS may request identity, age, relationship, guardianship, or authorization documents when reasonably necessary to protect the client and comply with legal or professional obligations.
5. Client Accounts and Account Security
When creating or using an LHPS account, you agree to:
- Provide complete, current, and truthful information;
- Keep your login credentials confidential and use only the account you are authorized to access;
- Promptly update material changes to your contact or client information;
- Notify LHPS if you suspect unauthorized access, disclosure, or misuse;
- Avoid sharing another person’s private information unless you are authorized to do so.
You are responsible for activity performed through your account to the extent allowed by law. LHPS may require additional verification before changing sensitive account information or releasing records.
6. Appointment Requests and Approval
Submitting a booking request does not always mean that an appointment is final. Appointment status, therapist availability, branch, service type, schedule conflicts, age-related requirements, payment conditions, and other clinical or operational considerations may affect approval.
An appointment is considered confirmed only when LHPS marks or communicates it as approved or confirmed. LHPS may contact you for clarification, recommend a different professional or service, propose another schedule, or decline a request when the requested arrangement is unavailable or inappropriate.
You are responsible for reviewing appointment details and notifying LHPS promptly if any information is incorrect.
7. Fees, Payment Information, and Verification
Applicable fees, payment options, deadlines, and accepted payment methods may be displayed during booking or communicated by LHPS. You agree to provide accurate payment information and legitimate supporting documents.
- Uploaded payment screenshots or reference numbers may be reviewed before payment is verified;
- An unverified, incomplete, duplicated, reversed, or fraudulent transaction may delay or affect the appointment;
- Additional payments, adjustments, refunds, or balances may be recorded when applicable;
- Fees may vary by service, professional, branch, duration, or other disclosed factors.
Refund eligibility and processing will depend on the circumstances, the applicable clinic policy, services already performed or reserved, transaction costs, and any terms communicated for the appointment.
8. Rescheduling, Cancellation, Attendance, and No-Show
You should request changes as early as reasonably possible through the available LHPS channels. Rescheduling, cancellation, late arrival, attendance, and no-show rules may be communicated during booking, confirmation, or service intake and may vary depending on the service or professional.
LHPS may need to reschedule or cancel an appointment because of provider unavailability, emergencies, technical problems, safety concerns, force majeure, or other circumstances. We will make reasonable efforts to notify affected clients.
9. Online or Virtual Services
Virtual services may require a suitable device, reliable connection, private setting, working audio or video, accurate location and emergency-contact information, and any separate telepsychology or online-service consent.
You understand that online services may be affected by connection failures, device limitations, privacy risks in your surroundings, platform interruptions, or other technical issues. LHPS may pause, reschedule, or recommend an in-person or alternative arrangement when clinically or technically appropriate.
Recording, photographing, screen-capturing, livestreaming, or distributing a session or private communication is prohibited unless all required parties have given prior written authorization and the activity is lawful.
10. Acceptable Use
You must not use the website, portal, or LHPS communication channels to:
- Impersonate another person or provide intentionally false, misleading, or fraudulent information;
- Attempt unauthorized access to accounts, records, databases, servers, or restricted features;
- Upload malware, harmful code, unlawful content, or files that violate another person’s rights;
- Harass, threaten, abuse, exploit, or unlawfully expose clients, personnel, or other persons;
- Scrape, copy, probe, reverse engineer, overload, disrupt, or interfere with the website or its security;
- Use confidential or clinical information for an unauthorized purpose;
- Violate any applicable law, professional rule, court order, or third-party right.
11. Clinical Decisions, Referrals, and Outcomes
Psychological services are individualized and collaborative. No particular diagnosis, result, improvement, treatment outcome, document, clearance, certification, school or employment decision, or third-party acceptance is guaranteed.
LHPS professionals may recommend further assessment, referral to another psychologist or mental health professional, psychiatric or medical evaluation, school-based support, emergency care, or another level of service when appropriate. A recommendation or referral is intended to support appropriate care and does not necessarily mean that LHPS is ending all involvement unless this is separately communicated.
Clinical and administrative decisions will be made using available information, professional judgment, client welfare, legal requirements, and the scope and limitations of the service.
12. Privacy, Confidentiality, and Records
Personal data is handled in accordance with our Privacy Policy, applicable law, professional obligations, and any informed-consent or service documents. You agree not to use the website or portal to unlawfully obtain, disclose, alter, or distribute another person’s personal, sensitive, or clinical information.
Confidentiality is subject to recognized legal and professional exceptions, including authorized disclosure, legal requirements, care coordination, and action reasonably necessary to address serious safety concerns.
13. Website Content and Intellectual Property
Unless otherwise stated, the website design, text, graphics, branding, forms, downloadable resources, and original materials are owned by or licensed to LHPS and are protected by applicable intellectual-property laws.
You may access public content for personal, lawful, and non-commercial use. You may not reproduce, modify, publish, sell, misrepresent, remove notices from, or commercially exploit LHPS content without permission, except as allowed by law.
14. Third-Party Platforms, Links, and Integrations
LHPS may use or link to third-party services for hosting, communications, calendar functions, maps, social media, storage, security, or payments. Third-party terms and privacy practices may apply when you use those services. LHPS does not control every independent third-party service and is not responsible for content or practices outside our control.
15. Website Availability and Changes
We aim to keep the website and portal available and accurate, but we do not guarantee uninterrupted or error-free access. Features may be changed, suspended, restricted, or unavailable because of maintenance, upgrades, provider outages, security concerns, technical faults, or events beyond our reasonable control.
16. Disclaimers and Limitation of Liability
To the fullest extent permitted by law, LHPS is not liable for indirect, incidental, special, or consequential loss arising solely from website downtime, delayed electronic communications, third-party failure, unauthorized user conduct, device or connection problems, or reliance on general website information.
Nothing in these Terms excludes liability that cannot lawfully be excluded, limits legally protected client rights, or excuses LHPS or its professionals from obligations imposed by applicable law and professional standards.
17. Suspension, Restriction, or Termination
LHPS may restrict or suspend website or account access when reasonably necessary to address security risks, suspected fraud, unlawful activity, repeated misuse, threats, unauthorized access, material breach of these Terms, or protection of clients and personnel.
Restriction of an online account does not automatically determine the status of an existing professional relationship. Any termination, transfer, referral, or continuity-of-care arrangement will be handled separately when applicable.
18. Governing Law and Dispute Resolution
These Terms are governed by the laws of the Republic of the Philippines. Before starting formal proceedings, you are encouraged to contact LHPS so that we can attempt to understand and resolve the concern appropriately.
Subject to applicable law and mandatory jurisdiction rules, disputes relating to these Terms or website use shall be brought before the proper courts or authorities in Davao City, Philippines.
19. Changes to These Terms
LHPS may update these Terms to reflect changes in law, services, clinic policy, professional requirements, or website functionality. The revised Terms will be posted with an updated date. Your continued use after an update constitutes acceptance of the revised Terms to the extent permitted by law.
